The Organisational Scheme
Read this post if your team has allreaddy been registered in the system, but don't know how to set a lineup for an event and enter it.

To simplify communication with the participants we suggest that you, or at least your team leader, is on the chatbox one hour ahead of an event.
Step 0 (Getting youre Team registered)
After have gotten you're password and team name added to the GTT database you can add all youre Team members to the GTT database permanently (this is needed to get them on a lineup).
on Helena Window tipe:

The FC shall be introduced in this way: 0000-0000-0000
Step 1 (selecting the lineup)
You might allreaddy know that events can only hold 3 players from each team, so therefore the first thing you need to do is to pick 3 of your team members to represent your team at the event. The deadline for sign ups is one hour ahead of the event, so take your time. (Make sure the ones you picked has allready been registered in your team, and that they are able to play at the time of the event)
Step 2 (Host)
Pick someone from your team who you think is the most suitable as a host. A host needs at least 11 free spots on his/her Friends list, a stable connection and he/she should be a reliable person. It's not the hosts responcibility to take screenshots, so please PM us if anyone from your lineup can capture the results.
Step 3 (setting the lineup)
No it's time to get the members you picked signed up for the event. You enter the chatbox (
http://www.mariokartwii.be/chat.html) and you open a Private chat with "Helena". Helena is our GTT bot. Next you need to write in a command. The syntax looks like this:
gtt teamname teampassword setlineup number membername
The red words needs to replaced with their actual meaning:
- Teamname = the name of your team
- Teampassword = the password you team leader chose when registering your team
- Number = the number can either be 1,2 or 3. The most suitable of being a host should be given number 1. It doesn't matter who you give 2 and 3.
- membername = the name of the member you wish to put in your lineup

Step 4 (replacing someone)
If you wish to remove a person from the lineup and replace him/her you need this command:
gtt teamname teampassword dellineup number
You can replace someone whenever you want, but if the deadline is passed its your own responcibility to contact your group's host.
Step 5 (preparations)
The deadline for sign ups for an event is 3 hours before it starts. When the deadline has passed the organizers will match up the lineups in groups. A group can hold up to 4 teams. Each group will have a host. The host needs to add the players in the group, and they needs to add to the host. The groups will be announced here:

Step 6 (event is starting)
As soon as the host has added all the players in the group's FC's he/she will open a room. He/she will start a regular Grand Prix (8 tracks) when all the teams have entered the room.
Step 7 (results)
When you are done racing you need to make sure that Morgrif will receive the final results so he can put the information into the ranking system. When he's done doing the mathematics he will post the new results table.
A number or remarks
1/ A disconnected player will receive a score of zero, unless more than half the players in the GP are disconnected (in that case the situation will be judged by us on the chatbox). While this may seem harsh, it is the only way to avoid problems. If a player disconnects during the fourth race (for example), but a picture of his performance after three races is available, this will count as his result. If you can't join your host, please contact him/her directly on the chatbox. All hosts are required to be there, so they can be contacted. This system has proven elegant in the past.
2/ Parts of the system rely partially on honesty. It has been proven before that this approach works. There is significantly more honour to be gained from a clean victory than from cheating. Of course, if cheating can be proved, the "criminal" (together with his entire team) will be disqualified. We are sure this won't be necessary, though. The Mario Kart Wii community seems to excel in maturity. Which is rather ironical, considering the rather childish looks of the game. :)
3/ Players are invited to join the chatbox at
www.mariokartwii.be/chat.html at any time to familiarise themselves with it. In particular changing names and exchanging private messages will be essential. It is extremely easy though. If you have problems connecting, please send a PM to morgrif for further assistance. There are various methods to get there, so it's most likely a problem that can be overcome.
4/ The Team Ratings are very closely modeled to the individual WFC Race Rating. Because in any race at most 4 teams can participate, it might take a number of events before your team reaches its true value. It's possible that in the near future a more intelligent Rating system will be adopted that converges more quickly. Don't worry about this. :)
5/ Not partaking in an event will not influence your rating. You can compare this in every way to the WFC Race Rating. You're not required to participate in every race there either. Right now we will stick with structured events, namely on announced dates and times. In the future this might change and teams could be given the opportunity to fight a battle amongst themselves (whenever they both feel like it) and deliver us the results. But at the beginning we would like to have some control in order to tune the details and give every team te chance to familiarise itself with the concept.
6/ Discussions and questions can be communicated through PM to morgrif. Feel free to ask us anything you want and we will try to answer you as clear as possible. We're also highly welcoming (both constructive and destructive) criticism regarding the organisation alltough we expect concrete facts to do it and not a "look for them" after a loose. It's not likely that we'll immediately hit bulls-eye concerning efficiency and clarity.
So, the first thing to do now (number 1/ in the organisational scheme), is confirm your participation for the upcoming event before 20 UK time.
